Recurring Expenses

We manage clients on monthly retained agreements, and in addition to tracking billable hours, we also need visibility into the recurring software expenses required to deliver the work. Many of these tools are consistent month to month (for example, social media publishing tools, analytics & reporting software, webinar platforms, specialty plugins, etc.).

Right now, because expenses have to be entered manually each month, it adds friction on the team and increases the likelihood of something being missed. A toggled recurring expense feature would allow us to:

  • Automatically assign fixed monthly software costs to a specific client or project

  • See a true picture of project profitability (time + tools) in one place

  • Stay proactive about budget management when we add temporary tools (e.g., webinar software for a campaign month)

  • Reduce manual admin work and improve reporting accuracy

For agencies and teams managing retainer-based work, this would make Clockify significantly more powerful as a lightweight project profitability tool — not just time tracking.

Even something simple, like the ability to toggle an expense on a recurring schedule (monthly, quarterly, custom), would make a big difference.
